Roofcheck survey terms
Last reviewed:
These are the terms for every survey Roofcheck carries out, together with the quote you approve on your client dashboard.
About these terms
These terms apply to every survey Roofcheck carries out for you, together with the quote you approve. In them, “you” means the person or organisation the quote is for, and “Roofcheck” means Allbase Group Ltd, which trades as Roofcheck.
Roofcheck’s surveys are for businesses and other organisations only, not for consumers.
Where the quote says something different from these terms, the quote applies, since it is written for your building.
The quote, and approving it
The quote sets out the survey, the methods it uses, what is included, the price and the date it is valid until. Asking for a quote commits you to nothing.
You approve the quote on your client dashboard by giving the name of the person approving it, a purchase order number if your organisation uses them, and ticking to accept the quote and these terms. Approving it makes the contract between you and Roofcheck for the survey.
The person who approves the quote confirms that they are authorised to accept it, for themselves or for the organisation it is for.
Terms printed on a purchase order don’t apply to the survey unless Roofcheck agrees to them in writing.
If the building, the roof or the access turns out to be different from what the request described, the survey team will talk it through with you, and nothing beyond the quote is carried out until you have agreed to it and to its price.
Booking the survey
Once you approve the quote, the survey date is agreed with you, around the access the building needs and, for a method that depends on the weather, the forecast.
The agreed date is shown on your dashboard.
Site access and safety
You arrange access to the site and the building for the agreed date, with the permission of anyone else who controls them, such as a landlord or a tenant, and the keys, escorts or permits the site needs.
Any access equipment the roof needs, such as a tower or a powered lift, is provided as the quote sets out.
Some methods also need access inside the building, under the roof, which you arrange in the same way.
Before the visit, tell the survey team about anything on the site that affects safety, such as fragile roof lights or sheets, asbestos, edge protection that is missing or damaged, plant that will be running, and any site rules or induction.
The surveyor works to their own safe system of work and can decline to go onto any roof, or any part of one, they judge unsafe. The report then covers the parts that could be surveyed.
Weather-dependent methods
Some methods depend on the weather. Thermography and surface moisture scanning need a dry roof, and a drone flight needs suitable weather, so these methods are booked around the forecast, and the quote sets out what each one needs.
If the forecast for the agreed date would stop a method from working, the visit is moved to another date agreed with you, at no charge.
Core sampling and other intrusive methods
Some methods open up the roof. Core sampling cuts small holes through the roof’s layers to see and test them, and is carried out only where the quote includes it, at locations agreed with you.
If the roof is under a manufacturer’s or an installer’s warranty that coring could affect, tell the survey team before the visit.
Each core hole is sealed watertight before the surveyor leaves the roof, with materials that suit the roof covering.
If a sealed core hole later lets in water, tell the survey team, and Roofcheck will put it right at no cost to you.
Cancelling or moving a survey
To move or cancel an agreed survey, call the survey team on 0113 868 0097.
With at least three working days’ notice before the survey date, you can cancel a survey and have anything you have paid for it refunded in full, or move it to another date at no charge.
With less notice than that, the costs already committed to the survey, such as hired access equipment, travel and the surveyor’s booked time, are deducted from the refund or charged at cost.
If the surveyor arrives and the survey can’t go ahead because the agreed access isn’t there, or because of a hazard on the site you knew of and didn’t mention, the wasted visit is charged at its cost.
If Roofcheck has to move a survey, a new date is agreed with you, or anything you have paid for it is refunded.
Prices and payment
The price is the quote’s, shown before VAT, which is added at the rate in force when the invoice is raised.
Unless the quote says otherwise, payment is made in advance against a pro-forma invoice, and the survey is booked on the agreed date once it is paid.
The quote sets out the payment schedule, either payment in full or a deposit to book the survey, with the balance due before the report is released.
A client with an approved credit account pays each invoice within 30 days of its date, apart from its first five surveys, which are paid in advance against a pro-forma invoice. Late payment carries interest under the Late Payment of Commercial Debts (Interest) Act 1998.
Other arrangements for larger projects, such as staged payments or payment held in escrow, can be agreed in writing.
No report is released until payment for the survey is received, except to a client with an approved credit account.
The report
The report sets out what the survey found, by the methods in the quote, on the parts of the roof that could be surveyed. It is issued on your client dashboard, where you can open it and, where it has one, download its PDF.
It records the roof’s condition as it was found. It isn’t a guarantee that the roof is watertight or will stay so, nor a specification for repairs.
Each method finds what it is designed to find, and a defect it isn’t designed for, or one hidden from it, can go unseen.
Who can rely on the report
The report is written for you, for the purpose the quote describes, and you can rely on it for that purpose.
You can share it with anyone you choose, such as an owner, a tenant, a buyer, a lender, an insurer or a contractor, but nobody else can rely on it. Roofcheck can extend reliance to a named third party by written agreement, which can carry a fee.
Copyright in the report stays with Roofcheck, and you can copy and use it for the building it is about.
Who carries out the survey
Roofcheck can have a survey carried out on its behalf by a specialist surveyor, chosen for the methods the quote names. Roofcheck remains responsible to you for the survey.
Your contract is with Roofcheck alone, so a claim about the survey is made against Roofcheck, not against the surveyor or anyone working for either of them, and they can rely on this term.
The survey team shares the survey’s details, and what is needed for access, with the surveyor, as the privacy policy sets out.
Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited under law.
Subject to that, Roofcheck is not liable for loss of profit, revenue, business, goodwill or opportunity, or for indirect or consequential loss, and its total liability for a survey is limited to the price paid for it.
Roofcheck is not liable for a failure caused by events outside its reasonable control.
Complaints
If something about a survey or its report isn’t right, call the survey team on 0113 868 0097, or send a message through the contact page, saying what went wrong and what you would like done.
Every complaint is looked into, with the surveyor where the survey itself is concerned, and you are told what was found and what will be done.
General
These terms and the quote you approve are the whole agreement for the survey. If any part of them can’t be enforced, the rest still applies, and a right that isn’t enforced isn’t given up.
They give no rights to anyone but you and Roofcheck, apart from the surveyor’s right to rely on the term about claims against them.
Roofcheck can update these terms. The version that applies to a survey is the one published here when you approved its quote.
Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute arising from them.
